What we collect through this website, why we collect it and what you can ask us to do with it.

Last updated: 1 October 2026

Who we are

This website is run by Clearcrest Accounting Limited, a company registered in England & Wales (Company No. 14719497). Our registered office is 82A James Carter Road, Mildenhall, Suffolk, IP28 7DE.

We are the data controller for the personal information described in this policy. If you have a question about it, email josh.buffin@clearcrest.co.uk or call 0161 706 0855.

What this policy covers

This policy covers this website and the enquiries you make through it. If you become a client, the information we need for your accounting and tax work is handled under the terms we agree with you at that point.

The information we collect

  • The contact form asks for your name, email address, phone number, business name and a message.
  • The quote questionnaire asks for your name, email address, phone number, the names of your companies and answers to questions about your business.
  • If you book a discovery call, we receive the details you enter, such as your name, email address and the time you choose. Bookings run on Google Calendar.
  • If you email, phone or message us on WhatsApp, we receive whatever you tell us.
  • Whenever you visit, our hosting provider processes your IP address and basic details about your browser and device to deliver the site and keep it secure.
  • Every enquiry and quote request also carries your device type, your screen size and the record of your visit described below.

We do not ask for sensitive information through this website. Please do not send tax records, bank details or identity documents through the contact form.

The record of your visit

This website keeps a short record of your visit in your browser's own storage. It notes the site you arrived from, the pages you viewed, the links and buttons you pressed, and the time of each. If you start the quote questionnaire, the record also includes the answers you give, even if you do not finish it. The name, email address and phone number you type into a form are left out of it.

The record stays on your device and deletes itself after 30 days. It reaches us only if you send an enquiry or a quote request, when it is attached to your message. We use it to understand what you were looking for before you got in touch.

Switching Statistics off in Cookie settings stops the record and deletes it. Clearing this website's data in your browser also deletes it.

How we use it

  • To reply to your enquiry.
  • To prepare a quote for you.
  • To arrange and hold a discovery call.
  • To keep the website running and secure.

We do not sell your information, and we do not add you to a marketing list because you sent us an enquiry.

Our lawful basis

UK data protection law requires a lawful basis for using your information. We rely on three. When you ask for a quote or book a call, we use your details to take the steps you asked for before entering a contract. For general enquiries, for the record of your visit, for statistics about how the website is used, and for keeping the website secure, we rely on our legitimate interests. We use marketing cookies only with your consent, which you can withdraw at any time in Cookie settings.

Cookies, analytics and embedded content

We use Google Analytics to see how this website is used. It sets cookies in your browser and records the pages you view, the links and buttons you press, the options you pick in the quote questionnaire, how you reached the site, and general details about your device and roughly where you are. We do not send it your name, email address, phone number or anything else you type into a form.

Cookie settings lists three groups. Necessary means the record of your cookie choice. Statistics means Google Analytics and the record of your visit. Marketing means the cookies Google uses to measure our adverts and show them to you on other websites.

These statistics cookies and the record of your visit are switched on when you arrive. You can switch them off at any time in , which is also at the foot of every page. When you do, Google Analytics stops, and the website deletes its cookies and clears the record of your visit.

Marketing cookies stay off unless you allow them. If you do, Google can measure our adverts and show them to you on other websites. You can change your mind in Cookie settings at any time.

Apart from those cookies, this website stores two things in your browser: your cookie choice, which it keeps for 180 days before asking again, and the record of your visit described above.

Some pages include content from other companies. Those companies may set cookies or collect information such as your IP address when their content loads:

  • Our YouTube videos play in YouTube's privacy-enhanced player and only load when you press play.
  • The posts on our Social page are loaded from Instagram.
  • The booking calendar on our Contact page is loaded from Google.
  • The fonts on this site are loaded from Google.

Each of these companies handles that information under its own privacy policy.

Who we share it with

We share personal information only with the companies that help us run this website:

  • Vercel, which hosts the website.
  • Web3Forms and our email provider, which deliver contact form and quote questionnaire submissions to our inbox.
  • Google, which provides the booking calendar, Google Analytics and, if you allow marketing cookies, its advertising services.

Some of these companies are based outside the UK, so your information may be processed in other countries under the safeguards they have in place. We may also disclose information if the law requires us to.

How long we keep it

We keep enquiries for as long as we need them to deal with your request. If you become a client, we keep the records that accounting and tax rules require us to keep. You can ask us to delete an enquiry at any time.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong;
  • ask us to delete your information;
  • ask us to restrict how we use it, or object to our using it;
  • ask for your information in a format you can take elsewhere.

To use any of these rights, email josh.buffin@clearcrest.co.uk. There is no charge.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk.

Changes to this policy

If we change this policy, we will post the new version on this page and update the date at the top.
